STANDARDIZED 7-DAY PAYROLL TEMPLATES

Free Weekly Timesheet Template(Excel, Google Sheets, PDF)

A weekly timesheet template is a standardized 7-day payroll record used by employers and hourly workers to track daily shift intervals, deduct unpaid meal breaks, and calculate total regular and overtime hours over a 40-hour workweek. Pre-configured with automated spreadsheet formulas, it prevents calculation errors, projects gross weekly pay, and creates an audit-compliant paper trail for payroll processing.

Formula Architecture & Spreadsheet Anatomy

Interval math, automated meal deductions, and 40-hour overtime routing rules.

Net Daily Worked Interval

=IF(OR(ISBLANK(C7),ISBLANK(F7)), 0, ((F7-C7)-(E7-D7))*24)

Computes net daily working duration by deducting the lunch period (Lunch In - Lunch Out) from gross shift time (Time Out - Time In), converting clock minutes to base-10 decimal hours.

Weekly 40-Hour Overtime

=IF(SUM(G7:G13)>40, SUM(G7:G13)-40, 0)

Continuously sums verified daily hours over the 7-day period. Once the total exceeds 40.0 hours, subsequent hours route into the overtime column automatically.

Gross Pay Calculation Logic

=(Regular_Hours * Rate) + (OT_Hours * Rate * 1.5)

Multiplies verified regular hours by the base wage while applying standard time-and-a-half (1.5x) multipliers to overtime hours for immediate gross compensation projection.

Why Growing Teams Move Beyond Weekly Spreadsheets

While static templates are effective for micro-businesses with 1 to 5 employees, tracking weekly hours manually across growing teams creates significant payroll drag. According to payroll operational studies, managers spend an average of 3.5 hours every Monday collecting paper timecards, verifying math, and re-entering hours into accounting software.

ARE WEEKLY SPREADSHEETS CAUSING PAYROLL BOTTLENECKS?

  • Formula overwrite accidents
  • Buddy punching & time theft
  • Manual re-entry into payroll
  • Zero visibility into live WIP

FLSA Weekly Overtime & Payroll Compliance

Federal and state standards governing 7-day workweek hour calculations.

The FLSA 168-Hour Workweek

Under the Fair Labor Standards Act (FLSA), an employer’s workweek is defined as a fixed and regularly recurring period of 168 hours—seven consecutive 24-hour periods. Overtime must be calculated on hours worked beyond 40 during this specific window and cannot be averaged across two or more weeks.

Daily Overtime Mandates

In states such as California, Nevada, and Alaska, overtime is required for hours worked exceeding 8 in a single workday, regardless of total weekly hours. Double-time rates apply in California for hours worked beyond 12 in a single day or past 8 hours on the seventh consecutive day of work.

The 7-Minute Rounding Principle

Employers who round timesheet entries to the nearest quarter hour (15 minutes) must apply the neutral 7-minute rule: times between 1 and 7 minutes round down, while times between 8 and 14 minutes round up. Rounding must balance out over time and cannot be structured to consistently reduce employee pay.

Questions about weekly timesheets

What is a weekly pay schedule?
A weekly pay schedule distributes wages to employees every seven days, resulting in 52 paychecks per calendar year. It is widely used in construction, trade contracting, manufacturing, and retail industries where hourly workers and fluctuating overtime make frequent payroll runs advantageous.
How does overtime calculate on a weekly timesheet?
Under federal FLSA regulations, non-exempt hourly employees receive overtime at 1.5 times their regular base rate for all hours worked in excess of 40 hours within a single 7-consecutive-day workweek. Our template automatically isolates the first 40 hours as regular time and routes all additional hours into the overtime column.
How do I calculate unpaid lunch breaks in Excel?
In our template, lunch breaks are entered in designated Lunch Out and Lunch In columns. The underlying formula calculates the difference between shift departure and arrival, then subtracts the meal break window automatically, leaving only net compensable working hours.
What is the advantage of a weekly timesheet over a biweekly timesheet?
Weekly timesheets align perfectly with the standard FLSA 40-hour workweek, making overtime tracking straightforward and eliminating split-workweek calculations. They also give business owners faster, weekly visibility into labor costs and project job costing.
