This policy explains what information Time Tracker On ("we," "us") collects when you use our website and application (together, the "Service"), and how we use, store, and protect it.
Information we collect
- Account information — name, email, and role, provided by you or your company admin when your account is created.
- Timesheet data — hours, dates, projects, tasks, and notes you or your team enter.
- QuickBooks Online data — if your company connects QuickBooks Online, we import Employees, Vendors, Customers, and Service Items you authorize, and we send approved timesheet data back to QuickBooks as TimeActivity records. We never sync your Projects or Tasks to QuickBooks — those stay inside Time Tracker On.
- Billing information — if you choose a paid plan, we collect billing contact details and card-style information for display purposes. See "How billing works" below.
- Usage and log data — standard technical logs (IP address, browser, timestamps) generated by using the Service, used for security and troubleshooting.
How we use your information
We use your information to operate the Service: authenticating you, running the timesheet and approval workflow, syncing with QuickBooks Online when you connect it, generating reports, and providing support. We do not sell your information.
How billing works
Choosing or changing a plan — including the free Starter plan — creates a pending request that a member of our team reviews before it takes effect. For paid plans, the card-style details you enter are stored only as a display record (card brand and last four digits); no charge is submitted to a live payment processor as part of that review. If your account structure changes in a way that affects your bill (for example, a shift between plans), you'll be notified before anything is finalized.
Who can see your data
Time Tracker On is multi-tenant software: your company's data is logically separated from every other company's data. Within your company, access follows role — Company Admins and, where permitted, Managers can see the timesheets, projects, and reports their role is entitled to. A small internal team at Time Tracker On can access account and billing data to provide support and process plan approvals.
Data retention
We retain your data for as long as your account is active, plus a reasonable period afterward to comply with legal, accounting, and audit obligations. Audit log entries (submissions, approvals, rejections, and exports) are retained according to your company's configured retention setting.
Security
Data is encrypted in transit and at rest. Access to production systems is restricted, and QuickBooks Online connections use OAuth — we never ask for or store your QuickBooks password.
Your choices
You can update your profile information at any time from within the app. Company Admins can disconnect QuickBooks Online at any point, which revokes our access on Intuit's side. To request deletion of your account or data, contact us using the details below.
Changes to this policy
If we make material changes to this policy, we'll update the date at the top of this page and, where appropriate, notify account admins directly.
