QuickBooks Online integration

From the weekly timesheet to QuickBooks — in one flow.

Time Tracker On isn't a generic tracker with a QuickBooks add-on. It's designed around your QuickBooks Online setup end to end.

STEP 1

Connect QuickBooks Online

One-click OAuth from Company Settings. No API keys, no CSVs.

STEP 2

Import your setup

Employees, Vendors, Customers, and Service Items sync in from QuickBooks — each with its own on/off toggle.

STEP 3

Invite your team

Employees and Vendors log in and fill in a weekly grid, a timer, or both — whichever your Company Settings allow.

STEP 4

Approve

A Manager or Admin reviews the week and approves or rejects it. On Pro, require a second or third sign-off before it's final.

STEP 5

Export to TimeActivity

Only Approved entries are eligible. Each becomes one TimeActivity record mapped to the worker, Customer, and Service Item.

STEP 6

Run payroll & invoicing

QuickBooks handles payroll and invoicing off the clean TimeActivity data — no re-keying.

What gets synced

Fields that map, one-to-one

Imported from QuickBooks
  • Employees
  • Vendors
  • Customers (Clients)
  • Service items
  • Hourly rates (from Employee/Vendor bill rate)
Exported to QuickBooks (as TimeActivity)
  • Transaction date
  • EmployeeRef or VendorRef — never both
  • CustomerRef, if the entry's Client is synced with QuickBooks
  • ItemRef, if a Service Item can be resolved
  • Hours and minutes
  • Billable vs. non-billable status
  • Description (or notes, if no description)
The ownership rule

Projects and Tasks stay inside Time Tracker On — by design

QuickBooks has no concept of Projects or Tasks. They're how this app organizes work internally, but they never appear in the QuickBooks payload.

Owned by QuickBooks

Imported into Time Tracker On, never created here: Employees, Vendors, Customers, and Service Items.

Owned by Time Tracker On

Created here, never sent to QuickBooks: Projects, Tasks, and Timesheets themselves.

If you want a Project auto-created for every Customer or Job you sync in, turn on Customers-as-Projects in Company Settings. And before anything is sent to QuickBooks, every entry is checked locally — if the worker isn't synced, the Client isn't synced, or a required Service Item is missing, export is blocked with a plain-English reason instead of a failed QuickBooks API call.
